Privacy Policy

We keep this short and specific on purpose. It tells you what we collect, why we collect it, who touches it, and how to make us stop. We do not sell your information.
Who we are and what this covers
High Arc Media, Inc. is a Georgia corporation operating as High Arc Media, a digital marketing agency headquartered in Atlanta. In this policy, we, us, and our mean High Arc Media, Inc.
This policy explains what we do with personal information when you visit higharcmedia.com, fill out a form, subscribe to our email list, book a call, text or email us, or become a client. It applies to our website and to the services we sell: social media marketing, video production, photography, influencer marketing, paid advertising, web design, and AI systems.
It does not cover the separate privacy practices of other companies whose platforms you may reach through us, and it does not cover information we handle strictly on a client's behalf. Both are addressed below.
Information we collect
Information you give us
- Quote and contact forms. Your name, email address, phone number, company name, website, the service you are interested in, budget range, how you found us, and anything you type into a free-text field.
- Email subscriptions. Your email address and first name. Our list uses confirmed opt-in, so you are not added until you click the confirmation link we send.
- Booked calls. Your name, email address, the time you selected, and any details you provide when scheduling.
- Correspondence. The contents of emails, text messages, and voice calls with us, including voicemail and, where a call is recorded, the recording and transcript. We tell you when a call is being recorded.
- Client onboarding. If you engage us, billing and business details needed to invoice and contract with you, plus the access credentials or delegated permissions you grant us to platforms we manage on your behalf.
Information collected automatically
- Usage and device data. Pages viewed, referring page, approximate region, browser type, and device type. Our analytics are aggregated and cookieless, which means we see traffic patterns rather than named individuals.
- Server logs. Our host records IP addresses and request data as part of delivering and securing the site.
- Embedded content. Pages containing a video player or a scheduling widget load content from that provider, which can set its own cookies and see your IP address. See our Cookie Policy.
What we do not collect
We do not ask for and do not want Social Security numbers, government identification numbers, financial account numbers, health information, precise geolocation, or biometric data. Card payments are handled by our payment and invoicing providers, so we never see or store full card numbers. Please do not send sensitive categories of information to us through a website form.
How we use your information
We use personal information to:
- Respond to your quote request, question, or booking
- Prepare proposals, contracts, and invoices, and deliver the work you hire us for
- Send email or text messages you have asked to receive
- Understand which pages and campaigns bring in qualified inquiries
- Operate, secure, debug, and improve the website
- Keep business records and meet tax, accounting, and legal obligations
- Detect and prevent fraud, spam, and abuse
We do not sell your personal information, and we never have. We do not hand your name, email address, or phone number to anyone for their own marketing.
When we are running advertising, the platforms we advertise on may receive website activity through their measurement tags so we can tell which campaigns work. That is described in our Cookie Policy, along with how to opt out.
We do not use automated decision-making that produces a legal or similarly significant effect on you.
Email and text message communications
We send marketing email only to people who asked for it. Every marketing email has an unsubscribe link at the bottom, and unsubscribing takes effect right away. You may still receive non-marketing email that relates to active work, such as a proposal, an invoice, or a project update.
Text messages
If you give us your mobile number and agree to receive text messages, we may text you about your inquiry, scheduling, and active projects, and, where you have separately agreed to it, about our services.
- Consent is never a condition of purchase. You do not have to agree to texts to hire us or to get a quote.
- Message frequency varies based on your inquiry and any active project.
- Message and data rates may apply depending on your mobile plan.
- Reply STOP to any message to opt out. Reply HELP for help, or email contact@higharcmedia.com.
- Mobile carriers are not liable for delayed or undelivered messages.
We do not sell, rent, or share mobile phone numbers or text message consent with any third party for that third party's own marketing purposes. Mobile information is shared only with the messaging providers that transmit our messages, and only so those messages can be delivered.
Information we handle for our clients
A large part of our work involves operating marketing accounts that belong to our clients. When we run advertising, manage a social media profile, build a website, or set up an automation for a client, we act as that client's service provider, not as the owner of the data.
In those cases the client decides what is collected and why, the client's own privacy policy governs, and we use the information only to perform the work under our agreement with them. If you interact with a brand we work for and want to exercise privacy rights over that data, contact that brand directly. You may also write to us and we will route your request to the right client.
How long we keep information
- Inquiries that never become projects: up to 3 years from the last contact, so we have context if you come back.
- Email subscribers: until you unsubscribe, plus a suppression record kept indefinitely so we do not email you again by mistake.
- Client records, contracts, and invoices: at least 7 years, to meet tax and accounting requirements.
- Call recordings and transcripts: up to 2 years.
- Server logs: a short rolling window set by our host.
When a retention period ends, we delete the information or strip out anything that identifies you.
How we protect information
The site is served over encrypted connections. We limit access to personal information to the people who need it, use reputable vendors, require multi-factor authentication on the accounts that hold client and business data, and store credentials in a password manager rather than in documents or messages. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your information, we will notify you as required by law.
Your privacy rights
Wherever you live, you can ask us to:
- Tell you what personal information we hold about you
- Give you a copy of it
- Correct anything inaccurate
- Delete it, where we are not required to keep it
- Stop sending you marketing email or text messages
Email contact@higharcmedia.com with your request. We respond within 45 days and will not charge you or treat you differently for asking. We may need to verify your identity before acting, normally by confirming you control the email address on the record.
California residents
We are a small business and do not currently meet the thresholds that make the California Consumer Privacy Act apply to us. We honor the core rights anyway: access, correction, deletion, and the right to know what we collect and why.
For the record, in the last 12 months we have collected the categories described in Information we collect for the purposes described in How we use your information. We have not sold personal information. Running advertising measurement tags may count as sharing for cross-context behavioral advertising under California law. If you want that to stop, block third-party cookies, use the platform opt-outs in our Cookie Policy, or email us and we will suppress you. We do not use or disclose sensitive personal information for purposes that require an opt-out.
Children
The site and our services are meant for businesses and are not directed to children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has given us personal information, email contact@higharcmedia.com and we will delete it.
Other websites and platforms
Our site links to other websites, and our work appears on platforms such as Instagram, YouTube, LinkedIn, TikTok, and Vimeo. Once you leave our site or interact with us on someone else's platform, that company's privacy policy governs. We do not control those companies and are not responsible for their practices.
Visitors outside the United States
We operate in the United States and store information here. If you contact us from outside the United States, you are sending your information to the United States, where privacy laws may differ from those where you live. Where the UK GDPR or EU GDPR applies to you, we rely on your consent for marketing messages, on the necessity of performing a contract for client work, and on our legitimate interest in running and securing our business for the rest. You may withdraw consent at any time and may lodge a complaint with your local supervisory authority.
Changes to this policy
We update this policy when our practices change. The date at the top always reflects the current version. If a change materially affects how we use information you have already given us, we will give notice on the site or by email before it takes effect. Continuing to use the site after an update means you accept the revised policy.
